Placing Requests from the Catalog

Need to request an item?  Most  options are listed below the call number and item status under Requests:

These include:

  • Offsite — request before 2:30 pm on weekdays and the book will be delivered the following weekday, requests for scanned electronic delivery are usually filled by the next business day.
  • Borrow Direct — books will be delivered from partner libraries within 3-5 working days.  It is the fastest way to get books!
  • Scan & Deliver — scanned copies of articles or chapters from selected Columbia libraries are delivered within 2-3 days.  Requests must conform to Fair Use guidelines to be in accordance with copyright law.
  • ILL (Interlibrary Loan) — for articles, DVDs, microfilm and other non-book items, articles come quickly, books can take 1-2 weeks.  For fastest results, include ISSNs or ISBNs.
  • Precataloging – items with a Precataloging location are often available the same day.
  • In Process – requests for “in process” items are usually filled within 2-3 days
  • Recall/Hold – Recalls usually take 2 weeks, try Borrow Direct first.   Holds may take several months and should only be used when Recall is not available.

There are two options which do not display in the CLIO record:  Item not on Shelf and Inter-Campus Delivery:

Use the Requests tab on the taskbar to place these requests:

  • Inter-campus Delivery — Request delivery of items from the Health Sciences campus to Morningside libraries and items from the Morningside campus libraries to the Health Sciences Library.  Items are usually delivered in 3-4 workings days.
  • Item Not on Shelf? — Request a search for an item not found on the shelf.   If found, it will be held for the requester.  if the item is not found, it will be charged to missing, enabling borrow direct requests,  and will also enter the replacement queue.  Items are usually searched within 24 hours.
  • You can also use the Requests tab to place Scan & Deliver requests when the pages you need are not available at Offsite.

Attend a Zotero Workshop

zotero is a free citation management program that helps you collect, organize, cite, and share your research sources and enables the download, capture, and indexing of full text, web pages, and research notes.    It also allows you to insert citations in Word documents in a wide variety of writing styles, such as APA, Chicago, etc.

Download Zotero at www.zotero.org. To make fullest use of Zotero you will also want to download one of the plug-ins for Microsoft Word and LibreOffice.  There are helpful web tutorials on the Zotero site, but the libraries are also here to help you use Zotero.

This month the Library is offering weekly Zotero workshops in 306 Butler LIbrary:

Welcome New Students

CLIO (Columbia Libraries Information Online) is our unified discovery system which provides a single search interface to four different sources: the library catalog; a large database of articles, dissertations, and ebooks; Academic Commons, our institutional repository; and the Libraries website.  A search for john jay revolution will return the following results.  Click directly on a record, click on the “view and filter” links at the top of each results list, or click directly on a datasource in left sidebar for additional features.

Hathi Trust Holdings Now Display in CLIO

The latest CLIO release improves access to Hathi Trust full text by displaying item holdings in CLIO.  Full View indicates that the item is available in full text for reading or downloading; Limited View provides limited search access only.

Hathi Trust RecordsUp to 25 Hathi holdings links will display in CLIO.  When a list exceeds 25, a summary link will display, e.g. “show 245 more holdings…”.   Because we are displaying data directly from Hathi, there may be inconsistencies in the way holdings are described by depositing libraries.

One more change worth noting:  the “chain link” icon used to designate an online resource has been replaced by a globe icon.

Virtual Shelf Browse

Virtual Shelf Browse allows researchers to browse the catalog as if all of our items, including titles that are at Offsite or online, were arranged by call number on a single shelf.   Start browsing from the foot of a CLIO catalog record, by choosing “Show” or “Full Screen.”

Choose  “Full Screen” for a larger display, to download to Zotero, or to select multiple items for emailing or saving.  One can browse forward or backward as long as desired.  To return to your original search, choose “Return to…” on the upper right corner.

When an item is associated with more than one call number, choose a call number to begin the browse:

  • The rarely used Newspapers search, which was a subset of the Articles search, has been eliminated to make room for some anticipated new data sources
  • The four subsets of the Catalog search (archives, new arrivals, e-journals, and databases) are now listed directly below the catalog
  • Improvements have been made to the display and search functionality of author/title entries
  • A location note has been added for Burke Rare Collections

New Library Location Search

The latest CLIO release, 7.10.8,  introduces a library location keyword search in both the Basic and Advanced Catalog Searches, a feature requested by many Columbia librarians.

Some use cases:

A scholar in Avery would like to find books about hospitals in the Avery collection, but the “Avery” location facet only limits to material physically located in Avery.  That scholar may now search for hospitals and location: Avery to retrieve both Avery and Offsite Avery material.

A Barnard alumna would like to see all the titles in the Barnard Alumnae Collection, which until now could not easily be separated from the overall Barnard location:

More uses for this search:

  • Finding and sorting material in named collections: Plimpton, Kilroe, McAlpin, etc.
  • Quickly generating or linking to a list of Research Reading Room titles
  • Searching for reserves material in a particular library, e.g. Health Sciences Reserve
  • Searching for “reference” to find material in reference collections across the various libraries

Although initially requested by librarians, we think this new search functionality will be useful to researchers as well,  especially in the ability to easily search and facet within our named collections.

Working with Search Results

Following on September’s update which targeted improvements to record emailing and printing, October’s CLIO release also focuses on what happens after a search is complete.

We’ve improved support for Zotero in the following areas:

  • better handling of e-book records
  • additional publication details have been added (place, year)
  • improved support for music, sound and video recordings
  • support for subjects and tags

For those who have not yet moved to Zotero we’ve also made some improvements to saved lists

  • very large lists are better handled
  • miscellaneous styling and design improvements

and finally, for  Endnote users:

  • multi-item exports have been fixed

CLIO Tip: Saving Records and Managing Lists

CLIO allows you to select CLIO records and save them to a list.

1.  Select the records you wish to save
2. Under “Selected Items…” choose “Add to My Saved List”

3. You will be prompted to log in.
4. A blue banner will confirm that items have been added to your Bookbag, which lists unfiled items.

6. It is easy to move items from the Bookbag to an existing or new Saved List.

August Release Improves Saved Lists and Relevance Ranking

Notable in this release are improvements made to book bag menus and processes, implementation of Bootstrap 3 style updates and a relevancy override for commonly searched terms.

Details regarding the last of these may be of particular interest:

The CLIO catalog has around 9 million MARC records, supplied by a variety of organizations following a variety of cataloging practices.  For any given patron query, the top records returned from the search engine are not always those we’d like to see at the top of this list.

The CLIO implementation team is exploring approaches to relevance boosting in search results. Analysis of the top 100 most commonly executed searches identified an initial set of 20 queries where a search against the data as cataloged in the MARC record did not return the “right” record early enough in the search results.  There are various reasons for this, including:

  • Multiple records for the same resource, with one preferred by subject specialists
  • Multiple resources of the same name, with one preferred by subject specialists
  • A resource is commonly referred to by a name which not it’s cataloged title, or not even present in the MARC record
  • A common misspelling of the resource name

In our current approach, 20 bib records were given an artificial “999” field before being indexed, and the search engine was configured to boost terms matched against the “999” field more than any other field.

The result is that searches for boosted terms (“CLIO”, “Ancestry”, “The New Yorker”, “Web of Knowlege”, CAIM, RILM, etc.) return the librarian-selected bib records at the top of the search results.

We are still tuning our implementation, and evaluating whether the boosts of these resources adversely affect the discovery of other items.
